Duties of Committee

1.            DUTIES of Committee

1.1         The Committee shall nominate teams to the relevant Football Association who conduct competitions and events to be played during the season by Soccer/Football Club Members and shall submit such programme once received to the Board if required.

2.            Duties of President

2.1         The President shall act as chairperson of all meetings of the Soccer Club and the Committee. In their absence the provisions of Rule 9.5 shall apply.

2.2         The President shall present a report to the Annual General Meeting of the Soccer Club concerning its activities during the preceding year.

2.3         Subject to these Rules and the Constitution of the Club, the President shall generally represent the Soccer Club to the Board.

2.4         The President shall perform such other duties as set out in these Rules.

3.            Duties of Secretary

3.1         The Secretary shall keep full and correct minutes as required by Rule 23 and shall cause a copy of such minutes to be forwarded to the Board of the Club and the CEO.

3.2         The Secretary shall cause a register of Soccer Club Members to be kept at the Club’s premises.

3.3         The Secretary shall deal with all correspondence relating to the affairs of the Soccer Club in such manner as the Committee may direct but subject to the control of the CEO and the Board.

3.4         The Secretary shall perform such other duties set out in these Rules together with such other duties as may be determined by the CEO or the Board from time to time.

4.            Duties of Treasurer

4.1         The Treasurer shall keep full and correct records of all monies received or disbursed by or on behalf of the Soccer Club.

4.2         The Treasurer shall present at each monthly meeting of the Committee a financial statement and report detailing finances received and disbursed by the Committee for the previous month and shall forward a copy of each statement signed by the President to the Board of the Club and the CEO.

4.3         Subject to Rule 11.2(a)(iii), the Treasurer shall cause all funds received by the Committee to be deposited into the bank account maintained by the Club for the Committee.

4.4         The Treasurer shall prepare and submit to the CEO for review a financial statement and report detailing all finances received and disbursed by the Committee along with all supporting documentation within 28 days of the end of the Soccer Club’s financial year.

4.5         The treasurer shall prepare and submit to the Annual General Meeting of the Soccer Club a financial statement and report detailing all finances received and disbursed by the Committee along with a letter from the Club confirming that the accounting records have been reviewed by the Club and cause a copy of the financial statement and report to be forwarded to the Board of the Club and the CEO.

5.            Senior Vice President

5.1         Shall be responsible to the President as his representative in the supervision of the Senior teams and their officials and actively represent the Senior teams in all levels of Club activity.

5.2         In the absence of the President at any meeting, The Senior Vice President shall be chairperson. They shall assist the President in the performance of their duties.

6.            Junior Vice President

6.1         Shall be responsible to the President as his representative in the supervision of the Junior teams and their officials and actively represent the Junior teams in all levels of Club activity.

6.2         In the absence of the President and the Senior Vice President shall be chairperson. They shall assist the President in the performance of their duties.

6.3         In the absence of all three members above the Secretary shall call for another member present to chair the meeting.

7.            Competition Secretary

7.1.    Shall notify all Soccer/Football Club teams of fixtures and game times when released by the Association.

 

7.2     Notify team management of any game and time changes as received from Association.

 

7.3     Independently authorise / organise social games for the Club or individual teams if requested prior to season start.

7.4     Notify teams if they have to set up for 1st games & pack up of last games according to the draw
7.5     Organise canteen duty for teams from the competition draw for the season


8.            Registrar

8.1         Shall attend Association Registrars workshop each season.

8.2         Shall contact existing registrations to relay registration dates & fees for season.

8.3         Shall set up Registration template for registrations prior to 1st January each year.

8.4         Shall be responsible for all Soccer/Football Club member registrations each season.

8.5         Shall make sure all Players are registered in correct age group in Association programme and submit team nominations as per Registrars guidelines each season.

8.6         Shall make sure all Volunteers are registered before team nominations each year.

8.7         Shall be responsible to record & submit scores each week after matches to the Association.

8.8         In the event that the Registrar is unavailable to perform any of the above duties for whatever reason, The Secretary will be responsible to make sure all aspects of the duties are performed to complete registrations and team nominations as required.
